The Hong Kong Institute of Facility Management ( the " Institute" ) are committed to protect ing the privacy of its members, candidates applying for membership or course accreditation and other users of this website . Where the visitors provide the Institute with their personal data, in person, by written document, via e-mail or through this website, the Institute will endeavour to ensure that such information remains private and is only used in accordance with this policy.

By providing the Institute with their personal data, the visitors also consent for the Institute to collect, hold, use and disclose their personal data in accordance with this policy. The Institute shall comply with the Personal Data (Privacy) Ordinance in Hong Kong .

1. Collection of Personal Data
  A. The Institute may collect the personal data expressly provided by the visitors of this website, its members, course organisers of its accredited courses, and the candidates applying for its membership or course accreditation, including (without limitation) their names , contact details, qualifications, work history, languages spoken, professional memberships and other information from their membership application forms or course accreditation forms submitted in person , via e-mail or through this website.
  B. All the personal data the Institute collect is held, used and disclosed for the purposes set out below.
2. Use and Disclosure of Personal Data
  A. The Institute holds, uses and discloses the personal data of visitors of this website, its members, course organisers of its accredited courses, and the candidates applying for its membership or course accreditation for the following purposes:
    I. to provide services to the visitors;
    II. to maintain relationship, where visitors are user of this website, the Institute's member or candidate applying for the Institute's membership or course accreditation;
    III. to enable visitors to submit their application for the Institute's membership or course accreditation;
    IV. to enable the Institute's members to updating their personal data being store in the Institute's central database; and
    V. to answer visitors' inquiry.
  B. The Institute may use visitors' contact information in order to send them e-mail or other communications regarding updates at the Institute's website, and additional news, industry updates, events, promotions and competitions, reports and other information which may be of interest to them.
  C. The Institute may also release personal data to regulatory or law enforcement authorities, if they require the Institute to do so.
  D. The Institute shall seek consent from visitors of this website, its members, course organisers of its accredited courses, and the candidates applying for its membership or course accreditation to collect, hold, use and disclose their personal data for any other purpose not listed above.
3. Privacy on the Institute Website
  A. Submitting application form for the purpose of the Institute's membership application
    I. Applicant shall make their application to the Institute via the appropriate pages of this website with subsequent submission of the signed printout of the appropriate application form in this website together with the required documentation.
    II. If the applicant is accepted as the Institute's member, all his/her personal data shall be stored in the Institute's central database . The Institute's members can update their personal data at any time, simply by following the procedure for "Access to Personal Data"
    III. If the applicant is not accepted as the Institute ' s member, or the applicant subsequent decided not to be elected as the Institute ' s member, all his/her personal data shall be destroyed within six months from the day when the applicant' s application to the Institute via this website are made.
  B. Submitting application form for the purpose the Institute ' s course accreditation
    I. Applicant shall make their application to the Institute via the appropriate pages of this website with subsequent submission of the signed printout of the appropriate application form in this website together with the required documentation.
    II. If the applicant's course is accredited by the Institute, all the data of the accredited course shall be stored in the Institute ' s central database . The organiser of the accredited course can update the data of their accredited courses at any time, simply by following the procedure for “ Access to Personal Data ” . If the applicant's course is not accredited by the Institute, or the applicant subsequent decided not to have his/her course accredited by the Institute, all the data of the course to be accredited shall be destroyed within six months from the day when the applicant' s application to the Institute via this website are made.
  C. Aggregate Information a bout Website Visitors
    I. The Institute gathers information and statistics about all visitors to this website, including the most frequently accessed pages and most frequently used services.
    II. The Institute only use / publish such data in aggregate form (that is, the information does not identify any one individual) to help the Institute in determin ing the most beneficial parts of the website.
    III. The Institute shall seek the consent from the visitors for use/publish of their non-identifiable information for purposes not listed above.

  A. The Institute's member may request access to or updating of his/her personal data held at the Institute by contacting the Institute's Administration Officer as set out below.

    II. Where the Institute are legally permitted to do so, the Institute may refuse a requestor's request and give the requestor reasons for doing so.
  B. Where the Institute's member requests his/her personal data to be updated and there is a dispute about the facts, the Institute will make a note on the requestor's personal data of such dispute.
  C. The Institute's member may also request the Institute to stop using his/her information and contacting him/her and we will comply with his/her request. However, if this involves a request for deletion of his/her file, please be aware that the Institute may not be required or able to do so.

  A. The Institute takes reasonable steps to keep personal data secure, accurate and up to date. The Internet is not always a secure method of transmitting information. Accordingly, while the Institute seek to protect the personal data of visitors of this website, its members, course organisers of its accredited courses, and the candidates applying for its membership or course accreditation by implementing digital security systems in various parts of this website, the Institute cannot accept responsibility for the security of information the above-mentioned parties send to or receive from the Institute over the Internet or for any unauthorised access or use of that information.
